1. Service description

Meet Helvira.AI is a meeting transcription and analysis service powered by artificial intelligence, developed and hosted exclusively in Switzerland. The service allows users to record or upload audio files, automatically transcribe them using our AI engine (WhisperX), generate intelligent meeting minutes and securely share results.

The service is accessible via the web application at meethelvira.ai and via the dedicated mobile app.

2. Acceptance of terms

By accessing Meet Helvira.AI and using our services, you accept these terms of use in their entirety. If you do not accept these terms, please do not use the service.

Use of the service also implies acceptance of our Privacy Policy.

3. Registration and user account

Access to the service requires authentication via the Helvira SSO system. When registering, you agree to:

  • Provide accurate and up-to-date information
  • Maintain the confidentiality of your login credentials
  • Immediately report any unauthorised use of your account
  • Not share your account with third parties

4. Subscriptions and billing

4.1 Pricing plans

Meet Helvira.AI offers several pricing plans (Free, Pro, Enterprise), details of which are available on our Pricing page. Prices are quoted in Swiss francs (CHF), excluding applicable taxes.

4.2 Billing

Subscriptions are billed monthly. Payment is made by credit card or bank transfer. Use of premium AI models may be billed on a consumption basis in addition to the base subscription.

4.3 Refunds

No refund is granted for services already consumed. In the event of mid-month cancellation, access remains active until the end of the billed period.

4.4 Price changes

Any price change will be communicated with 30 days' notice. Continued use of the service after this period constitutes acceptance of the new prices.

4.5 Payment default

In the event of non-payment, the service may be suspended after a 15-day period following the due date.

5. Authorised use

The service is intended for legitimate professional and personal use, including:

  • Transcription of meetings, conferences and interviews
  • Generation of meeting minutes and summaries
  • Analysis and search within transcriptions
  • Secure document sharing with collaborators
  • Archiving and organising audio content

6. Prohibited uses

It is strictly prohibited to use Meet Helvira.AI to:

  • Create or distribute illegal, defamatory or misleading content
  • Violate the intellectual property rights of third parties
  • Attempt to circumvent the service's security measures
  • Harass, threaten or harm other users
  • Generate misinformation or fraudulent content
  • Any activity contrary to Swiss or international law

7. Intellectual property

Content generated by users (transcriptions, meeting minutes) remains the property of the users. Meet Helvira.AI retains all rights to the service, its source code, design, trademarks and logos.

The user grants Meet Helvira.AI a limited licence to process their content solely for the purpose of providing the service (transcription, AI analysis, storage).

8. Limitation of liability

The service is provided "as is". Meet Helvira.AI does not guarantee the accuracy or completeness of transcriptions and meeting minutes generated by artificial intelligence. Users are responsible for verifying generated content before any official use.

Meet Helvira.AI shall not be held liable for any direct or indirect damages resulting from the use of the service, to the extent permitted by Swiss law.

9. Termination

The user may terminate their account at any time. After termination:

  • Access to the service is immediately deactivated
  • Data is retained for 30 days
  • After this period, all data is permanently deleted

Meet Helvira.AI reserves the right to suspend or terminate an account in the event of a breach of these terms.

10. Modification of terms

Meet Helvira.AI reserves the right to modify these terms with 30 days' notice. Users will be notified by email. Continued use of the service after the effective date constitutes acceptance of the new terms.

11. Governing law and jurisdiction

These terms are governed by Swiss law. Any dispute relating to the interpretation or performance of these terms falls under the exclusive jurisdiction of the courts of Geneva, Switzerland.
